Director, Administrative Support - Construction

The Project Administrative Director will oversee the administrative management of construction projects, ensuring adherence to deadlines and budgets. Leading a team of project administrative assistants, you will provide essential support to project management and construction teams to ensure overall operational success.


RESPONSIBILITIES:

  • Supervise, train, and coordinate a team of project administrative assistants in their daily tasks.
  • Oversee and coordinate all administrative activities related to construction projects.
  • Develop, implement, and optimize administrative processes and project management tools (e.g., SharePoint, Procore).
  • Act as a liaison between administrative, technical, site, and management teams to maintain coordination and effective communication.
  • Monitor administrative budgets and assist with financial management of projects in collaboration with the Finance department.
  • Manage reports and cost tracking with subcontractors.
  • Ensure compliance of documents and operations with current regulations.
  • Prepare regular progress reports for project managers and senior management.
  • Maintain administrative oversight and compliance of files throughout the project lifecycle.
  • Support Project Managers in improving operations and resolving issues.
  • Manage project change events.
  • Oversee and manager contracts and subcontractors while ensuring compliance with contractual obligations.


QUALIFICATIONS:

  • Minimum of 5 years in project administrative management within the heavy residential construction sector.
  • Strong personnel management experience.
  • Degree in administration, project management, or a related field.
  • Strong planning and prioritization skills in a dynamic environment.
  • High attention to detail, rigor, and ability to manage multiple projects simultaneously.
  • Practical knowledge of Procore.
  • Good knowledge of the Microsoft Office suite and strong aptitude for adopting new technologies.
  • Ability to communicate effectively verbally and in writing, and in interpersonal relations in French. English would be an asset.
